[PracticeNow Billing] How are the active students counted for Billing?
More details below:
1. Who is an Active Student?
2. Isn't the student billed only when the student renews their subscription?
Eg: If the student has renewed their subscription for 3 months, then they would be billed on a monthly basis until their subscription expires.
3. Are free trials, free classes or free workshops being billed?
4. What if the same student buys two subscriptions — e.g., one for Pranayama and one for regular classes during the same time?
If the student buys multiple subscriptions during the same period, he/she would be billed only once for that period.
5. Where do I see the no of students for whom I have been billed for?
You can see the same here
6. What if the student purchased a subscription on 1st Jul 2022 for 2 months. My PracticeNow Billing dates are 5th to 4th of the month. How would the student be billed to me?
Students would be billed for the period that they are active.
Start date of Student's subscription - 1st Jul 22
End date of Student's subscription - 31st Aug 22
PracticeNow Billing - The student would be billed for 2 months -
once in the invoice that starts from 5th Jun to 4th Jul,
the second time in the invoice that has the starting date of 5th Jul to 4th Aug
7. Unpaid classes taken by Students during the billing cycle
Unpaid Students are considered as an active Student.
These are the students whom the studios have an arrangement to pay the fees at a later date.
These are the students who will be billed for the month when they attended the class but did not pay
Eg:
Student Timeline:
- Month 1: Attends 8 classes (unpaid)
- Month 2: Attends 6 classes (unpaid)
- Month 3: Pays for all previous classes
- Month 4: Attends 4 classes (paid)
Billing Impact:
- Month 1: Billed for the student for 8 classes
- Month 2: Billed for the student 6 classes
- Month 3: No changes to previous bills
- Month 4: Billed for the student 4 classes
To understand what are unpaid classes, please refer to this document.
If you are not sure if the student is going to pay you, then follow the steps here to avoid being billed
