Managing Fixed Monthly Subscription Dates

If you would like all student subscriptions to follow a fixed monthly cycle (for example, from the 1st to the 28th, 30th, or 31st of every month), this setup can be managed manually in the system by following the steps below.


How to Set Up Fixed Monthly Subscription Dates


1. Unpublish Pricing at the End of Each Month


At the end of every month:

  • Go to your Pricing section [Studio Info -> Plans & Pricing -> All Pricing]
  • Unpublish all active pricing plans

This ensures that students will not be able to view or purchase subscriptions once the current monthly cycle has ended.


2. Open Registrations for the Next Month


When you are ready to start accepting registrations for the upcoming month (for example, on the 20th of the current month):

  • Go to your Studio Info -> Plans & Pricing -> Edit the plan
  • Update the Subscription Start Date to the 1st of the upcoming month
  • Publish your pricing again [Studio Info -> Plans & Pricing -> All Pricing]

Example:

  • Pricing is published on 20th April
  • Subscription Start Date is set to 1st May

Students can purchase from 20th April onwards, but their subscription will only become active from 1st May.


3. Configure Subscription Validity


Set the subscription validity based on your preferred monthly cycle:

  • For a full monthly cycle, set validity as 1 month
    • This aligns the subscription from the 1st until the end of the month (28th, 30th, or 31st depending on the month)
  • If your classes run for a shorter fixed period (for example, 1st to 28th), set a custom validity duration (such as 28 days) in your Pricing [Studio Info -> Plans & Pricing -> All Pricing]

This ensures subscriptions automatically end at the intended time.


4. Repeat Monthly


To maintain this cycle every month:

  • Unpublish pricing at the beginning of the active month [say 1st]
  • Update the next month’s Subscription Start Date [when you are ready to open up your subscriptions]
  • Republish pricing when registrations open

This keeps all students aligned to the same billing and access window.


Handling Mid-Cycle Registrations (Optional)


If you want to allow a student to join after the subscriptions are closed:

  1. Collect the payment offline
  2. Create a manual subscription for that specific student
  3. Set the start and end dates to match the current cycle


This allows you to onboard individual students without reopening pricing publicly, while still keeping them aligned with your ongoing batch.


Note:
  1. This workflow currently needs to be managed manually each month within the system.
  2. The students can still register but will not be able to purchase their subscription from the system
