[Write-up] Giving Free Access to Workshops or Group Classes for Existing Active Students

This guide explains the different ways to give free access to a workshop, session, or group class only to your existing active students.


Example use case:


A Studio wants students with an active subscription to attend a new workshop, wellness session, masterclass, or group class for free.

Before You Start: Create a Student Segment


The first common step for most methods is to create a segment for your eligible students.


Create a Segment


Go to:

Students → Segments

Create a segment that includes:

  • Existing active students
  • Students from specific classes, memberships, or batches
  • Students with active subscriptions

This segment helps you target only eligible students.

Option 1: Use Discount Codes (Recommended for Large Groups)


This is the best option when you have many students and want an automated process.


Steps

1. Create a Discount Code

Create a discount and associate it with the segment you created.

This ensures:

  • Only students in that segment can use the discount
  • New students or non-members will not see or access the offer

2. Associate the Discount with the Plan

Attach the discount to the workshop or group class plan.

Example:

  • Plan Name: Workshop / Group Class Plan
  • Discount: 100% OFF for selected segment


Result

Eligible students can enroll for free, while other students continue to see the regular pricing.

  • Automated enrollment flow
  • Limited-access offers
  • Recurring workshop access

Option 2: Create a ₹0 Plan (for Large Groups)


You can create a separate plan specifically for eligible students.


Steps

1. Create a New Plan

Create the workshop or group class plan.

2. Set Pricing to ₹0

Set the amount as ₹0

3. Share Only with Existing Students

Use the segment to control who receives access to this plan.

  • Exclusive member-only workshops
  • Temporary promotional access
  • Internal/private programs

Option 3: Create Manual Subscriptions

You can manually create subscriptions for individual students.


Steps

1. Open Student Profile

Go to the student profile [Students -> All Students -> Search for the specific student]

2. Create Manual Subscription

Add the workshop or group class subscription manually.


Best For

  • Small number of students
  • One-time exceptions
  • Personalized access management

Important

This method does not require segment creation.

Option 4: Edit Existing Active Subscriptions

You can directly update the student’s current subscription.


Steps

1. Edit the Class

Associate the workshop or group class with the existing subscription plan.

2. Update Student Subscription

For each active student:

  • Edit the subscription
  • Adjust the number of classes or plan access as required

3. Add Internal Notes

Always add notes in:

Note Private

Include details about:

  • What was changed
  • Why the change was made
  • Date of modification


Best For

  • Small student groups
  • Existing subscription adjustments
  • Cases where manual control is preferred


Important

This method does not require segment creation.

The group class can be added to a group plan and workshop with the workshop plans only

  • Use Segments + Discount Codes when managing many students.
  • Use Manual Subscription or Subscription Editing when handling a small group of students individually.

This helps keep workshop and group class access organized, controlled, and easy to manage for future programs and special sessions.
