[Write-up] Handling Incorrect plan purchases by the Student

Overview


If a student purchases the wrong plan, the resolution depends on whether the correct plan has the same amount or a different amount from the purchased plan.

Scenario 1: Correct Plan Has the Same Amount


When the purchased plan and the intended plan have the same price:


  1. Open the student's current subscription.
  2. Edit the subscription.
  3. Change the Plan Name to the correct plan.
  4. Update any other details if required:
    • Number of classes
    • Validity period
  1. Save the changes.

No additional payment or subscription creation is required.

Scenario 2: Correct Plan Has a Different Amount


When the intended plan has a different price, the subscription must first be updated to provide the correct plan access.

Mandatory First Step


Before proceeding with either option below:


  1. Open the student's current subscription.
  2. Edit the subscription.
  3. Change the Plan Name to the correct plan.
  4. Save the changes.

This ensures the student immediately receives access to the correct plan.


Option 1: Collect the Difference Offline


If the pricing difference is collected outside the platform:


Step 1: Collect the Difference Amount Offline


Collect the amount difference directly from the student.


Step 2: Create a Manual Subscription


Create a manual subscription with the following details:

  • Start Date: Automatically shows up
  • End Date: Automatically shows up
  • Billing Amount: Difference in plan amount
  • Number of Classes: 0
  • Payment Mode: Offline


Step 3: Add a Note


In the subscription notes, clearly mention that:

This manual subscription was created to account for the pricing difference resulting from a plan correction.


This note will be useful for future reference and audits.


Option 2: Collect the Difference Online via Razorpay


If the pricing difference should be collected online:


Step 1: Create a Manual Subscription


Create a manual subscription with the following details:


  • Start Date: Automatically shows up
  • End Date: Automatically shows up
  • Billing Amount: Difference in plan amount
  • Number of Classes: 0
  • Payment Mode: Payment Gateway


Step 2: Select Payment Gateway

During subscription creation, select:

Payment Method → Payment Gateway (Razorpay)


Once the manual subscription is created:

  • A Razorpay payment link is automatically sent to the student.
  • The student can complete the payment online.


Step 4: Add a Note

In the subscription notes, clearly mention that:

This manual subscription was created to account for the pricing difference resulting from a plan correction.


This note will be useful for future reference and audits.

What Happens After Creating the Manual Subscription?


The following behavior applies to both Option 1 and Option 2:


  • The student's current subscription continues normally until it expires.
  • Once the current subscription expires, the manual subscription starts automatically.
  • Since the manual subscription contains 0 classes, it expires immediately after activation.


This allows the pricing adjustment to be recorded without affecting the student's actual subscription benefits or class entitlement.
